How to Submit a Concern or Complaint
Participants may submit a concern or complaint by completing our Participant Concern and Complaint Form or by contacting:
ACE Coordinator: Bethany Coop, BCBA
Email: bethc@clearpathbehavior.com
Please include the following information when possible:
-
Your name and preferred contact information
-
The name and date of the ACE event
-
A description of the concern
-
Any relevant supporting information or documentation
-
The resolution or action you are requesting
Participants may request that their identity be kept confidential to the extent reasonably possible. Anonymous concerns may also be submitted; however, anonymity may limit our ability to investigate or provide a direct response.
Review and Resolution Process
All concerns and complaints will be:
-
Acknowledged within five business days of receipt.
-
Reviewed by the ACE Coordinator or an appropriate organizational representative who was not directly involved in the matter, when feasible.
-
Investigated using available information, including event records, participant communications, instructor input, and relevant BACB requirements.
-
Addressed in a fair, respectful, and timely manner.
-
Documented, including the concern, review process, findings, actions taken, and final resolution.
We will generally provide a written response within 30 calendar days. When additional time is needed, the participant will be informed of the delay and the anticipated timeframe for resolution.
Possible resolutions may include clarification, correction of records, issuance of replacement documentation, a refund or event credit when appropriate, changes to event materials or procedures, instructor coaching, or other corrective action.
Request for Additional Review
A participant who is dissatisfied with the initial resolution may request an additional review within 15 calendar days of receiving the decision. The request should explain why further review is warranted and include any additional relevant information.
When feasible, the additional review will be completed by a qualified individual who was not responsible for the original decision. The participant will receive a written final response.
Protection From Retaliation
Participants will not be penalized, denied future participation, or otherwise retaliated against for raising a concern or submitting a complaint in good faith.
Records and Continuous Improvement
ClearPath Behavior Solutions maintains documentation of participant concerns, complaints, reviews, responses, and corrective actions in accordance with applicable BACB ACE Provider record-retention requirements. Feedback and complaint trends may be reviewed to improve future events, instructional practices, accessibility, and administrative procedures.
Submitting a concern through this process does not prevent a participant from contacting the Behavior Analyst Certification Board or another applicable regulatory or professional organization when appropriate.
